1. Who we are

This Privacy Policy explains how Workhorse Financials LLC ("Workhorse," "we," "us," or "our") collects, uses, and shares information through Workhorse Stable Manager (the "Service").

2. Information we collect

Account information. Name, email address, and password (stored securely; we don't store your password in plain text) when you create an account.

Payment information. We use Stripe to process subscription payments. We don't store your full card number — Stripe handles that directly, and we only receive confirmation of whether a payment succeeded, along with limited billing details (like the last 4 digits of your card, for your reference in the app).

Animal and barn records. Information you choose to enter about your horses and other animals — names, breed, vaccination and deworming history, farrier and vet visit records, Coggins and health certificate dates, weight, and similar care details.

Photos and documents. Photos and uploaded documents (like Coggins certificates or health papers) that you attach to an animal's record.

Financial records you enter. Costs you log — feed, vet bills, farrier charges, and similar — for your own expense tracking.

Contact information for the horse sitter feature. A phone number you provide so a sitter can reach you, and, if you use the "email it" option, the sitter's email address.

Contacts you enter. Names and numbers for vets, farriers, dentists, haulers, or others you add to your barn's contact list.

Usage information. Basic technical information like IP address, browser type, and how you interact with the Service, collected automatically to help us maintain and improve it.

3. How we use this information

To provide the Service — storing your records, generating reminders, and displaying your data back to you
To send you care and expiration reminder emails (for example, before a Coggins or vaccination is due), based on the dates you've entered
To process payments and manage your subscription
To generate and manage horse sitter links you create
To provide customer support
To maintain and improve the Service, including diagnosing technical issues
To communicate with you about your account or, if you've opted in, about new features or updates

We do not sell your personal information.

4. How we share information

Stripe, to process payments. Stripe has its own privacy policy governing how it handles payment data.
Google Workspace, to send account, reminder, and notification emails.
The horse sitter link feature. When you generate a horse sitter link, the specific care information you select (feeding, medication, turnout instructions) and your phone number become viewable by anyone with that link, for as long as it's active. The sitter does not need an account and is not otherwise a user of the Service — this is information you're choosing to share, at your direction.
Legal requirements. We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of Workhorse, our users, or others.
Business transfers. If Workhorse is acquired or merges with another company, your information may be transferred as part of that transaction, subject to this Policy (or a successor policy you'll be notified about).

We don't share your animal records, photos, or documents with anyone else for advertising or marketing purposes.

5. Data retention

We retain your information for as long as your account is active. If your trial ends without a subscription or your subscription lapses, your account becomes read-only but your data is not deleted — you can still view it, and it will be fully accessible again if you subscribe. If you request account deletion, we'll delete your personal information within 30 days, except where we're required to retain certain records (like payment history) for legal or accounting purposes.

6. Your choices and rights

Access and export. You can view all your data at any time within the Service. There's no self-serve export tool yet — email support@workhorsestablemanager.com and we'll get you a copy of your data directly.
Correction. You can edit or update most of your information directly in the app.
Deletion. You can request deletion of your account and associated data by contacting support@workhorsestablemanager.com.
Marketing emails. You can opt out of non-essential marketing emails at any time; you'll still receive essential account and billing emails while your account is active.
California and EU residents. If applicable laws (like the CCPA or GDPR) apply to you, you may have additional rights, including the right to know what data we hold, request its deletion, or object to certain processing. Contact us at support@workhorsestablemanager.com to exercise these rights. [This section needs expansion by an attorney if you have or expect EU or California users.]

7. Security

We use reasonable technical and organizational measures to protect your information, including encryption of data in transit. No system is completely secure, and we can't guarantee absolute security.

8. Children's privacy

The Service requires users to be 18 or older (see our Terms of Service) and is not directed at anyone under 18. We don't knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us at support@workhorsestablemanager.com and we'll delete it.

9. Cookies and tracking

If you use any tracking cookies, this section needs to describe what they are and give users a way to control them, and you may need a cookie consent banner depending on where your users are located.]

10. Changes to this Policy

We may update this Privacy Policy from time to time. We'll notify you of material changes before they take effect, and continued use of the Service after changes take effect means you accept the updated Policy.
